BasePlate Privacy Policy

BasePlate is a wedding-day tool for photographers and videographers. It keeps your timelines, shot lists, reference frames and camera settings, and it syncs them so they survive a lost phone and appear on your next one.

That sync is the whole of the privacy story. Your work is stored on servers we operate, using Google Firebase. We are not in the business of selling it, mining it, or showing you advertising. There is no analytics SDK, no advertising identifier, and no tracking of any kind — across apps, across sites, or otherwise.

What we hold

Your name and email address, if you sign in	Only when you choose to sign in with Apple or Google, so your work follows you to another phone. If you use Apple’s Hide My Email, we only ever see the relay address.
Your timelines, shot lists, notes, camera settings and gear	It is the app. Stored so it syncs and so it is still there after a reinstall.
Reference frames and pose prompts you save	Same. Images are stored in our Firebase Storage bucket.
Names, phone numbers and addresses you type into a timeline	Because a wedding day has a planner, a venue and a second shooter on it. See Other people’s information.
Your business name, if you enter one	Shown to people you share a day with, so they know who sent it.
Subscription status	Apple tells our server when a subscription starts, renews, lapses or is refunded, so Pro features work on all your devices. Apple does not give us your payment details, and we never see them.

BasePlate does not read your device’s Contacts, does not request your location, and has no access to your photo library beyond the individual images you pick.

Sharing a day

When you share a wedding, BasePlate publishes a copy of that day’s schedule to a secret web address so the person you sent it to can open it — in the app if they have it, in a browser if they don’t.

Two things worth knowing:

• The link is the key. Anyone holding it can see that timeline. It is long and unguessable and search engines are told not to index it, but it is not password-protected. Treat it like a door key, not a secret.
• Your private layer is never shared. Your shot list, your reference frames, your camera settings and your own notes stay yours. Only the schedule travels.

You can revoke a link at any time from inside the app, which takes the published copy down. Anyone who already opened it may still have a copy on their own device — the same as any document you have already sent someone.

Other people’s information

A wedding timeline contains other people’s names and numbers. When you put them in BasePlate they are stored and synced with the rest of that day. You are responsible for handling those details lawfully, including any consent your jurisdiction requires — the same responsibility you have with a printed timeline, except that this one is on a server.

Who else sees it

Nobody, with three narrow exceptions:

• Google, as our infrastructure provider (Firebase Authentication, Firestore, Cloud Storage, Cloud Functions and Hosting). They process it on our behalf and under their terms; they are not free to use it for their own purposes.
• Apple, for sign-in and for subscriptions.
• Anthropic, and only when you ask for it. If a timeline is too messy for BasePlate to read on its own, you can choose “a closer read”, which sends that document’s text to Anthropic’s Claude API to be parsed. It is never automatic and never happens without you pressing it.

Contact details are removed before that happens. Phone numbers, email addresses and social handles are stripped out on your phone, before anything is sent, and replaced with placeholders — the app tells you how many stayed behind. They are still extracted onto your timeline; that part happens entirely on your device and always has. Names written into the schedule itself do travel, because “Devon and the guys” is the thing being read.

Anthropic processes API requests in the United States and, under their current API terms, does not use them to train their models. The parsed schedule comes back to your phone; we do not keep a copy of what you sent.

We do not sell your data. We do not share it with advertisers or data brokers. There is nobody else.

Where it lives, and for how long

On Google Cloud servers in the United States. We keep your data while your account exists. Delete your account in the app — Settings, then Delete account — and we permanently remove your account, every wedding you own, your shot lists and your reference frames, from every device and from our servers. Backups roll off within 30 days.

Deleting the app alone does not delete your data, because the point of the sync is that it survives that.

Your rights

You can see everything we hold about you inside the app, correct it by editing it, and delete all of it from Settings. If you would rather ask a person — including for a copy in a portable format, or to object to or restrict processing — write to support@h3lxlabs.com and we will answer within 30 days. If you are in the EU or UK you also have the right to complain to your local data protection authority.

Children

BasePlate is a professional tool for people who shoot weddings for a living. It is not directed at children and we do not knowingly collect anything from anyone under 13. If you believe a child has an account, write to us and we will delete it.

Security

Your data travels encrypted and is stored encrypted at rest. Access is enforced on the server, not just in the app: the rules are written so that one person’s private layer is unreadable by anyone else, including other people working the same wedding.

Changes

If this policy changes in a way that matters, we will say so in the app before it takes effect, and the date at the top will move.
